Privacy Policy
Topgentik Pte. Ltd. (“Topgentik”, “we”, “us”), a company incorporated in Singapore, operates topgentik.com and the AI agent platform offered to enterprise customers (the “Service”). This Privacy Policy explains what personal data we collect, how we use it, and the choices you have.
1. Data we collect
- Identification and contact data — name, email, phone, company and job title you provide when contacting us, booking a call, or signing up.
- Communication data — content of emails, SMS, voice calls and WhatsApp messages exchanged with us or our agents, including transcripts of recorded calls when you have been notified and have consented.
- Customer operational data — when engaged by an enterprise customer, we process the operational data (e.g. ERP records, documents) needed to deliver the Service that customer commissioned.
- Technical data — IP address, browser and device identifiers, and usage signals for security, basic functionality and aggregate analytics.
2. How we use your data
- To respond to inquiries and to set up and deliver the Service.
- To send transactional and operational communications via email, SMS, voice and WhatsApp Business messaging — booking confirmations, preparation materials, follow-ups — only after you initiate contact or give an explicit opt-in.
- To operate the AI agent workflows our customers contract us for.
- To secure and improve the Service, and to meet legal obligations. We do not sell or rent your data, and do not use it for unsolicited advertising.
3. WhatsApp Business messaging
When you contact us via WhatsApp or opt in to receive WhatsApp messages, we use the WhatsApp Business Platform provided by Meta Platforms, Inc., which processes the message as a processor on our behalf in line with the WhatsApp Business Messaging Policy. You can stop receiving WhatsApp messages at any time by replying STOP.
4. Voice calls
Outbound voice calls placed by our agents are conducted through third-party telephony and voice service providers. When a call is recorded or transcribed, you are informed at the start of the call and may end it or decline recording.
5. Sub-processors
To deliver the Service we rely on reputable third-party providers across categories including cloud hosting and infrastructure, AI model inference, telephony and messaging, and payment processing. We share with each only the data needed to perform its function, and each handles that data under its own data-protection terms.
6. International transfers
We are headquartered in Singapore and our infrastructure spans Asia, Europe and North America, so your personal data may be processed in those regions. We take reasonable steps to keep it protected wherever it is processed.
7. Retention
We retain personal data for as long as necessary to deliver the Service and to comply with legal obligations. When data is no longer needed, we delete or anonymise it.
8. Your rights
Subject to applicable law (including the EU GDPR for European users), you have the right to access, rectify, delete, restrict, or port your personal data, and to object to processing. To exercise these rights, write to hello@topgentik.com. You also have the right to lodge a complaint with your local data protection authority.
9. Security
We use industry-standard technical and organisational measures: encryption in transit and at rest, access controls and audit logging, least-privilege access for staff, and segregation between customer tenants.
